Handwritten Or Typed Cover Letter

Dear Aunty,

Please can you confirm the best way to send job application letters? I mean should I send written or typed job application letters?

Aunty says,

Thank you for your letter. This is a question that I am often asked and I am happy to help clarify this issue for you. In most cases you should submit typed application letters. Typed applications are appropriate for job applications as they are:

  • suitable for business use
  • easier for employers and recruiters to read
  • easier for you to spell check and amend

The only exception is when the job advertisement specifically stipulated that job applications should be hand written. If this is the case then you should submit a hand-written application.

When typing an application you should use a clearly recognizable font (such as Arial, Times New Roman), a suitable font size (12pt) and a black or grey font colour. Job applications usually consist of an application letter detailing why an employer might want to consider offering you employment, together with a CV outlining your relevant skills and experience. You can view example applications and CVs at:

If you are submitting speculative job applications please read my advice: Help! How can I submit speculative job applications

I hope that this information will of use to you and others in Zambia and wish you all the best with your speculative job applications.

What is the best way to present an application letter, esp one going to an educational institution;is it handwritten or typed? Thanks

It all depend on the method of application. If the application method is manual i.e submitting directly to the office of the recipient, the application letter should be hand written. No need typing it. Infact, most employer prefer a handwritten application letter in this case. Ensure that your writing is clean and clear.

But if you are submitting the application electronically, the application letter should be typed with Ms word.

It should be typed to make it look official and serious. These days even writing your school project and taking it to your supervisor for correction is always typed

Tenth time I'm answering this question. Fourth time it's making frontpage in three years.
The answer is "always type", you can never go wrong with a typed application however people with bad writing can lose the position for obvious reasons.

If you think your application letter should be handwriting your cv should be too. So Always Type your letter. Always and I say again always, unless otherwise stated.

There's no fast rule about this... However, some employers may require you write it in order to see how legible your handwriting is (i.e. teaching jobs). If not specified therefore, type it. Emails have taken over though.

Have you seen some people's writing at all? If I was hiring someone for a job, I would want them to use the most effective tool at their disposal. In the case of generating written words that I must read, the most effective tool is the computer.

Resume, Cover letter, Application letter should all be typed and in PDF.

Is there a reason why you don't accept typed applications?

I am curious because I've thought that typing it out makes a better impression.

Am not too interested in the writings rather in common errors and spelling.

Although I don't expect those application for the post of a cleaner to be 95% error free

Most Typed applications were done in a business center. It is not the total input of the applicant.

Secondly some business centers may also propagate the news that my establishment is open for suitable application thus making it more difficult for us to vet numerous applicants

The poster above me made some sense, though that's particularly for small scale businesses (one man, two man and medium scale private businesses or companies) .
Public corporations and large business concerns would usually go the extra mile to vet their prospective employees, including out sourcing the recruitment process to HR firms.
They're also not bothered about "many people knowing about it" as to them, the more the merrier.
Personally I think it's best for applicants to follow instructions and know what their employers want. Generally public corporations want a type written letter though up north I have seen many handwritten applications for very formal applications.
